Dismissal Procedure
Dismissal Routine
Dismissal Routine
Elmonica Elementary uses the School House Driveline system to manage student dismissal. This system enhances safety, efficiency, and clarity for students being picked up by car or on foot.
What is School House Driveline?
School House Driveline is a dismissal management tool that assigns each family a unique dismissal number. Staff use this number to ensure that students are released quickly and safely to their designated pick-up areas.
Family Number Cards
Each family receives a set of number cards to support a safe and efficient dismissal process:
-
Two 5 x 8 cards for display in vehicles during car pick-up
-
Two credit card–sized cards for use during on-foot pick-up or by alternate caregivers
Each card displays your family's unique dismissal number, assigned specifically for the current school year. These numbers are used to quickly and safely release students to their approved pick-up contacts.
Please keep all cards in a safe and accessible place. Having a number card visible or ready at dismissal is required, whether you are picking up by car or on foot.
If you do not have a card with you at pick-up, you will be directed to the school office for identity verification before your child can be released.
A new set of cards is issued annually to maintain current records and enhance student safety by ensuring only enrolled families participate in the dismissal system.
Dismissal Procedures by Mode of Pick-Up
Walkers (Walking Home Independently)
Students who walk home on their own are dismissed through the gates at the bell.
Parent/Caregiver Pick-Up (On Foot)
Caregivers picking up students on foot must present a family number card to a staff member at either the east gate (green) or west gate (red). A staff member will enter the number, and your child will be called to meet you at that location.
Car Pick-Up
Families using the car pick-up lane must clearly display their family number card—either on the dashboard or attached to the passenger sun visor. The parking lot opens at approximately 3:10 p.m. Staff will enter your number as you pull forward, and your child will be called to the curbside pick-up zone.
Bus Riders
Students riding the bus will be escorted to the bus loading area at dismissal. Family number cards are not required for bus riders but should be retained in case your dismissal plans change in the future.
Additional Notes
-
Alternate Pick-Ups: If someone other than a parent or usual caregiver (such as a grandparent or older sibling) is picking up your child, please provide them with one of your family number cards.
-
Gate Labels: Pick-up gates are clearly marked to assist with navigation.
-
Siblings: Older siblings should meet the youngest sibling at their classroom and exit together through the gate closest to the youngest child’s classroom (typically the east gate).
-
Dismissal Accommodations: If your family requires a unique dismissal arrangement, please contact the school office to coordinate accommodations.
-
Playground Access: The playground reopens for community use after dismissal at approximately 3:10 p.m.

Flexible Meetings and Family Events

These sessions will help parents understand academic standards, student assessments, and strategies for supporting learning at home. They also provide a chance to collaborate with teachers to monitor student progress. -

We schedule two conferences each year to review grade-level expectations, curriculum, assessments, and student progress. These meetings are an opportunity for parents and teachers to discuss questions, concerns, and celebrate student growth. -
Ongoing Communication
We are committed to consistent and meaningful communication. Our school newsletter includes updates and resources focused on academics and social-emotional development. Classroom newsletters provide timely information about instruction and activities. -

To volunteer, all individuals must:
-
Complete a district background check before volunteering
-
Sign in at the volunteer kiosk in the front office each time they volunteer
-
Arrange for younger siblings to remain at home during volunteer hours
To complete a background check, visit the Beaverton School District Volunteer Application.
Playground & Recess
Playground and Recess Expectations
At Elmonica, we believe recess is an important time for students to play, build friendships, and enjoy physical activity. To ensure a safe and positive environment, all students are expected to follow the playground and recess rules. These expectations are organized around our core values: Be Safe, Be Respectful, and Be Responsible.
Be Safe
-
Stay within playground boundaries and in sight of a supervisor at all times.
-
Only re-enter the building with supervisor permission.
-
Keep rocks, sticks, bark chips, and snow on the ground.
-
Use "butterfly touches" for tag or chase games—no pushing or tackling.
-
Report accidents or injuries to a playground supervisor immediately.
Be Respectful
-
Follow the directions of all playground supervisors.
-
Play games according to school rules.
-
Respect the decisions of the referee (usually the first person in line).
-
Walk around active games without interrupting play.
Be Responsible
-
Take turns and share playground equipment.
-
Keep food, drinks, and indoor toys inside the building.
-
Help keep the playground clean.
-
Resolve disagreements peacefully or ask an adult for help.
-
Line up quickly and safely when the signal is given.
Play Equipment Rules
To maintain a safe play environment, students must follow these equipment guidelines:
-
Rings and Horizontal Ladder: Move in one direction only.
-
Horizontal Bar: Keep both hands on the bar at all times.
-
Swings: Swing straight forward and backward; no twisting, standing, or jumping off.
-
Play Structure: Slide one at a time, feet first.
-
Gaga Ball Pit: Follow the posted rules outside the play area.
Community Use of the Playground
The playground and play structure are open to families and community members outside of school hours. Please note that the main play structure is designed for children ages 5 and older. The preschool playground is designed for children 5 and younger.
Restorative Practices
💬 What Are Restorative Practices?
-
Focus on repairing harm — Instead of asking “who broke a rule?”, students and staff ask “who was hurt by what happened, and how can we make things right?”
-
Balance high expectations with high support — Teachers work with students, not to them. This builds accountability without shame or punishment
How It Looks at Elmonica Elementary
-
Community Circles
-
Students and staff meet regularly in a circle to share thoughts, feelings, build empathy, and set classroom agreements.
-
-
Informal Conversations & Affective Language
-
For minor misbehavior, teachers have private, respectful chats using “I-statements” (e.g. “I felt worried when…”), helping students reflect and repair relationships.
-
-
Restorative Dialogue or Conferences
-
When there’s more serious conflict or harm, students meet with teachers or trained staff to discuss the impact, brainstorm solutions, and agree on a plan to repair harm.
-
-
Reintegrating Students
-
If a student must be separated or suspended, they return through a restorative process: a guided conversation that helps rebuild trust and outline a positive role moving forward
-
-
Clear Agreements & Follow‑Up
-
Restorative agreements are often documented and revisited to ensure commitments are kept and learning happens.
-
Why It Matters
-
Builds trust, empathy, and communication in the classroom
-
Helps students learn from mistakes and repair relationships, rather than simply receiving detention or exclusion.
-
Can reduce suspensions, boost school safety, and improve overall climate.
🔧 Why This Matters for Parents
-
Your child is learning skills for self-awareness, empathy, and problem-solving—key lifelong abilities.
-
Restorative Practices are not a “free pass.” Students are still held responsible and guided to repair any harm.
-
You may be invited to participate (especially in more serious cases) through parent‑teacher/admin.‑student meetings that develop together an agreement for healing and growth.
At Elmonica Elementary, Restorative Practices means students are guided to understand the impact of their actions, take responsibility, and rebuild connections—with your support. It's about learning with compassion and growing stronger as a supportive school community.

School Policies & General Information
School Policies & General Information
Acceleration/Promotion
Families considering academic acceleration or grade-level promotion should contact the principal to begin the process. A team will collect and review student performance data over a 6–8 week period. A student must demonstrate academic, social, and emotional readiness for promotion to be approved.
Administrative Transfers
Administrative transfers are only granted for documented hardships. Daycare arrangements typically do not qualify. Students attending Elmonica on an administrative transfer must maintain an attendance rate of 92% or higher, including timely arrival. For details and forms, visit the Beaverton School District website.
After-School Care
Please contact the school office for information about after-school care options. Note that neither Elmonica nor the Beaverton School District endorses specific childcare providers.
Arrival
Students may arrive on campus at 8:10 a.m. for breakfast or to go directly to class.
Attendance
Regular attendance is essential to your child’s success. Please make sure your child attends school on time each day, unless they are sick or there is a family emergency. To report an absence, call the school office or submit the absence through ParentVUE.
Balloons
For health and safety reasons, latex and mylar balloons are not allowed in the building.
Birthdays
To keep classroom celebrations inclusive and manageable, we discourage sending food items or party favors. Families are encouraged to donate a book to the classroom library instead. The principal hosts a monthly birthday lunch to honor all students with birthdays during that month.
Celebrations
Elmonica honors a variety of cultural traditions and seasonal milestones. We focus on celebrating learning and seasonal change, moving away from exclusive focus on Christian or commercial holidays. Teachers collaborate with families to incorporate culturally relevant events and traditions into classroom learning.
Classroom Placement
Each spring, teachers and support staff work together to create balanced classroom groupings for the following school year. Teacher requests are only considered in exceptional circumstances.
Conferences
Elmonica holds two parent-teacher conferences each year—typically in the fall and spring. Each conference includes one evening and one full-day opportunity for families to meet with teachers (up to 12 hours total). Conference dates are communicated through ParentSquare, email, and phone. Each family receives a scheduled time; if you cannot attend, please call the school office to reschedule.
Families are also welcome to request additional conferences by contacting the teacher directly. These can be scheduled at a mutually convenient time to discuss academic progress, classroom behavior, or other concerns.
Deliveries
Deliveries to students (e.g., balloons, flowers, food) are discouraged. Items sent to school will be held in the office for parent pickup.
Dress Code
Students should be dressed appropriately for learning and outdoor play. Closed-toe, secure footwear is required. Clothing with references to drugs, alcohol, violence, sex, or inappropriate language is not allowed.
Food
All food brought for classroom celebrations must be store-bought and follow wellness policies and allergy guidelines. Approval from the classroom teacher or principal is required in advance of the event.
Fundraising
All fundraising activities must be approved by school administration. Only the Elmonica Parent Teacher Organization (PTO) is authorized to conduct fundraising for the school. Outside organizations, businesses, or individuals may not use school resources, teacher time, or communication tools (e.g., emails, newsletters) to promote products or services.
Lost and Found
Lost and found items are located in the main hallway. Small valuables are kept in the front office. Please label your child’s belongings to help ensure they are returned. Unclaimed items are periodically donated to the Beaverton School District’s Clothing for Kids program.
No Animals on School Property
Animals are not allowed on school grounds. Families walking dogs for drop-off or pick-up must remain on public sidewalks adjacent to the school.
Searches
Authorized school staff may search a student’s person or property in accordance with school board policy while on district property or during school-sponsored activities.
Smartphones and Smart Devices
Students should not bring phones or smartwatches to school unless they are needed for caregiver transitions and have received prior approval from an administrator. All devices must remain turned off and stored in backpacks during the school day. After two or more disruptions, devices will be held in the office until dismissal. The school is not responsible for lost, stolen, or damaged items.
Note: Bluetooth trackers (e.g., AirTags, Tile) are permitted.
Smoke/Drug-Free Environment
Elmonica is a smoke-free and drug-free campus. Tobacco, vaping, and drug use are prohibited at all times on school property.
Toys, Electronics, and Personal Valuables
Students should keep toys, electronics, trading cards, and other personal valuables at home. Items that distract from learning are not permitted. The school is not responsible for lost, stolen, or damaged belongings. If necessary, staff may hold items for parent pickup.
Visitors and Volunteers
All visitors and volunteers must check in at the office, wear a badge, and remain within sight and sound of a licensed staff member. Volunteer background checks must be completed before volunteering. Visitors should coordinate with teachers in advance, and visits longer than 20 minutes must be approved by the principal.
Withdrawal from School
If you plan to withdraw your child from Elmonica, please notify the school office so we can assist with the transition process.
Student Health

Students may return to school when:

They have been fever-free for at least 24 hours without the use of fever-reducing medication.
-
They have had no vomiting or diarrhea for at least 24 hours.
These guidelines help reduce the spread of illness and keep our school community healthy.
Annual Head Lice Notification
Head lice are a common occurrence and are not related to hygiene or cleanliness. They can affect anyone. Lice are small, gray or tan insects that live near the scalp. They do not fly or jump and are typically spread through direct head-to-head contact.
Nits (lice eggs) are white, gray, or tan and are attached firmly to the hair shaft near the scalp. They are often mistaken for dandruff, but unlike dandruff, they cannot be easily brushed away.
Signs of head lice may include:
-
Persistent scalp itching
-
Irritation around the neck or ears
If you suspect your child has head lice or need information about treatment, please contact the school office for support.
Dental and Vision Screening
In partnership with community agencies, Elmonica provides vision and hearing screenings for students in designated grade levels. Limited dental services may be offered during the school year based on availability and parental request. Additional information will be shared through the school newsletter.
Insurance
Student accident and dental insurance coverage is available for all Elmonica students. Information is distributed at the beginning of the school year. If you need assistance locating these materials, please contact the school office.

To administer medication at school, the following guidelines must be followed:
-
Medications must be in the original container.
-
A completed "Authorization for Medication Administration" form must be signed by a parent or guardian.
-
The label must include the student’s name, dosage, time of administration, prescription number (if applicable), and the physician’s name.
This policy applies to all medications, including over-the-counter items such as:
-
Cough drops
-
Topical ointments
-
Pain relievers
Please deliver all medications to the school office and do not send them in backpacks.
